Using Software Asset Management as a key enabler for GDPR compliance

Ben Eagling, of License Dashboard, looks into why it is so important for public sector organisations to be able to account for their technology assets in order to fall in line with incoming GDPR regulations.

The EU General Data Protection Regulation (GDPR) will come into effect on 25th May 2018. Organisations are required to bring data protection to the forefront of their business, and ITAM Managers now have a significant role in not only gathering all IT resource data, but also safeguarding it.

It is vital for public sector organisations to be able to account for all of the technology assets on their network, with full confidence in the quality of data and no gaps in the coverage. An effective SAM solution will source data from multiple tools and process this into one complete picture – identifying any gaps or anomalies which will require attention from the IT team.

Understanding the entire IT estate is a major contribution to GDPR compliance and highlights the essential link between ITAM and GDPR. A full understanding of your network will give you;

  • The total number of PCs, laptops, mobiles, tablets and services on your estate;
  • A record of what software is installed on which devices;
  • Details of who has access to which devices as well as who is using that access.

An effective SAM solution will enable ITAM Managers to identify any areas lacking in appropriate GDPR security controls and create a clear view of where data is located, who is using it, and how it is being protected. With this knowledge, preventing and disabling the use of unknown, outdated, suspect, or even malicious applications becomes a straightforward process, ensuring that only authorized devices, software, and users have a place within the IT network.

In the unfortunate event of a data breach, having this information readily available will help to pinpoint the source of the breach, and provide insight into how to immediately protect all other networked assets.
